Project Management - Tool

Previously, on my blog… I discussed being part of a preschool to kindergarten transition workgroup. It is complex because it involves several organizations, a lot of important work and moving pieces, and different work styles for each member. For myself or smaller teams, I’ve used Microsoft Teams, Microsoft Planner, Microsoft Outlook (Calendar and Tasks), checklists, calendars, Trello, and GANTT charts.

The tool. The workgroup is currently using a table within a Word document, with a list of tasks organized by strategies, then activities for each strategy, and month. The months are in the columns to see what tasks are getting done and when (I put an example in the photo below). It’s a large document that is printed out for the workgroup. It’s available electronically too but not everyone likes to stare at their screen (or save paper) like me. It can be difficult to maneuver through the tool since there is so much going on.

Help! I have been thinking about what to do that is easier and will work for (most) everyone. Please share in the comments or contact me if you have any ideas or have used a project management tool that worked well. I need a tool that:

  • Includes strategies (5 in total), activities (up to 10 for each strategy), and months (Sept - June)

  • Brief description of each strategy and activity

  • Easily shows when the activity occurs.

  • Isn’t too frilly with too many colors.

  • Easily printed

  • Easily updated

  • Spelling/Grammar check

  • Big enough for notes/updates/bad eye sight

Additionally, I do not like working with Word but I would prefer the spelling and grammar checked or else I would use Excel.

Other than that. The tool is working but I think it can be better and more engaging (also prettier!). It’s silly but I like working on lists and making things as organized as possible. I also love stationary and planners. I digress, but the point is I find this stuff really entertaining and interesting to discuss.
